Job Description
We are currently looking for a truly exceptional person to fill the role of Executive Assistant and Records/Filing at our corporate headquarters in West Valley, Utah. This position provides high-level, confidential administrative support to the Executive Administrative Departments. Must have high energy, be proficient, organized and capable of multi-tasking in a high paced environment. Duties include clerical, administrative, and primarily involve projects, arranging meetings, handling information requests, preparing reports/presentations scheduling travel, correspondence and liaising with all levels within the organization as well as customers, vendors and the general public. This position is privy to confidential information and as such, requires diplomacy and discretion. Also is responsible for developing and providing oversight of records management, including training others to follow established records guidelines, identifies historical and permanent records and ensures records retention policies are adhered to. Ensures that all contracts are properly executed and distributed, maintain central data base for all contracts including terms, expiration and notice requirements, coordinates with the receptionist for both electronic filing as well as maintain hard copies in an organized manner.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs diversified administrative support duties including, but not limited to typing correspondence, arranging meetings/conference calls, making travel arrangements, preparing presentations, answering phones, receiving visitors, filing, mail processing, ordering supplies, receptionist coverage, and payment of invoices.
Participates with special projects.

EDUCATION and/or EXPERIENCE
High school graduate or equivalent
LANGUAGE SKILLS
Excellent verbal and written communication skills to effectively deal with all levels of personnel, customers, and visitors.
MATHEMATICAL SKILLS:
An understanding of basic math and accounting principles.
REASONING ABILITY:
Aptitude in problem definition, data collections, fact finding, and drawing valid conclusions
COMPUTER SKILLS:
Highly proficient with Microsoft Office (Word, Excel, and PowerPoint)
OTHER SKILLS / ABILITIES
Ability to maintain confidentiality and professionalism
Good organizational skills
Team Player
Ability to be multi-tasked in a high volume office environment
